The 5-Minute Missed Call Recovery Script Contractors Are Using to Win Back Lost Leads
By BizBot Editorial Team · April 2026 · 7 min read
You were on a job. Your phone rang. You didn't answer. By the time you checked your voicemail, the homeowner had already called your competitor.
That scenario plays out dozens of times a week for the average contractor — and most don't have a system to stop the bleeding. This post gives you one. A real, copy-paste-ready script sequence that recovers missed call leads before they go cold.
Why Speed Is the Only Variable That Matters
The Lead Response Management study (Prof. James Oldroyd, MIT/InsideSales.com, 2007) analyzed roughly 15,000 leads and more than 100,000 dial attempts. Calling a lead within 5 minutes rather than 30 made a rep 100x more likely to make contact, and made the lead 21x more likely to enter the sales process. Separately, Harvard Business Review's audit of 2,241 U.S. companies found firms that responded within an hour were 7x more likely to qualify the lead than firms that waited even an hour longer (Oldroyd, McElheran & Elkington, "The Short Life of Online Sales Leads," Harvard Business Review, 2011).
For contractors, the window is even tighter. When someone's toilet is flooding or their A/C dies in July, they're not waiting around. They Google, they call three numbers, they book whoever calls back first. That's the game. Speed is the only variable you control.
Most contractors call a missed lead back whenever they next get their hands free — after the current job, at lunch, at the end of the day. That gap, between the minute the call came in and the minute you get to it, is where jobs are won and lost.
The 3-Touch Recovery Sequence
The script below is a 3-touch sequence: an immediate text, a follow-up call within 5 minutes, and a same-day email if the call goes unanswered. Each piece has a job to do.
Touch 1: Immediate SMS (send within 60 seconds of missed call)
The first text should go out automatically — ideally the moment your phone registers a missed call. If you're doing this manually, set a timer and send it the second you see the notification.
SMS Template — Copy This Exactly
Hi, this is [Your Name] from [Company]. Sorry I missed your call — I was just finishing up a job. What can I help you with? I can usually get someone out same-day or tomorrow morning. — [Your Name] | [Phone Number]
Why this works: It's personal (not a robot-sounding blast), it explains why you missed the call (you were working — that's credibility, not an excuse), and it closes with a specific availability hook. "Same-day or tomorrow" creates urgency without pressure.
Keep it under 160 characters if possible so it doesn't split into multiple messages on older phones.
Touch 2: Follow-Up Call (within 5 minutes)
If you don't get a reply to the text within 3 minutes, call. When they pick up, use this:
Call Script — Opening 30 Seconds
"Hey, this is [Name] calling back from [Company] — I just sent you a quick text. I saw you tried to reach us and I wanted to make sure I got back to you before the day got away. What's going on at the house?"
Why this works: You reference the text (they'll remember it, builds continuity), you frame the callback as urgent and personal, and you end with an open question that lets them describe the problem. Don't launch into a pitch. Let them talk first.
If you get voicemail, leave this:
Voicemail Script
"Hi, this is [Name] from [Company]. I'm calling back because you reached out to us today. I also sent you a text at [number] — feel free to reply there if that's easier. We're available today and tomorrow morning. Hope to hear from you soon — take care."
Touch 3: Same-Day Email (send if no response by end of business)
If you have their email (from a form submission, referral, or directory listing), send this before 6pm the same day:
Email Template
Subject: Following up — [Company Name]
Hi [First Name or "there"],

Here's what we do:

To book or get a quick quote, just reply to this email or call/text [phone].

How to Implement This Without Doing It Manually
The honest problem with this script is execution. When you're under a sink at 2pm and your phone goes off, you're not stopping to send a text. Manual systems fail. The contractors who actually recover missed calls at scale use automation.
Here's how to set this up yourself:
- Use a tool that detects missed calls and fires an SMS automatically — no human trigger required
- Set your CRM or phone system to log the lead and start a follow-up task
- If you use Google Voice or a business phone service, many allow auto-reply SMS for missed calls
- For volume above 10 calls/day, dedicated AI answering tools handle this end-to-end
The key metric to track: lead response time. If you don't know your current average, you're flying blind. Most contractors who start tracking it are shocked — it's often over an hour.
What the Numbers Look Like Over a Year
Let's say you miss 4 calls per day. That's about 1,400 missed calls per year. If your average job is worth $450 (typical for residential service calls), and you recover even 20% of those with a fast follow-up system, that's 280 jobs — or $126,000 in recovered revenue.
That math is conservative. Most service businesses close 30–40% of the leads they actually reach in a timely manner. The speed problem is solvable. The script above is the manual version of what the best operators automate.
A few more benchmarks worth knowing:
- Most customers book the first company that responds
- Many service businesses lose a large share of calls to voicemail during business hours
- Text messages have a 98% open rate vs. 20% for email — always lead with SMS (SimpleTexting, 2024)
Start with the script. Build the habit. Then automate it so the habit doesn't depend on your memory. Contractors using SiteLine by BizBot get the entire 3-touch sequence automated — the SMS fires within 60 seconds of any missed call, no manual trigger required.
